The construction company has requested that we enhance their current process and develop an automation system to assist foremen in purchasing supplies for a newly built estate.

Some of the issues that were highlighted:

The process of purchasing materials and fixtures was time-consuming due to the need for an on-site person to manually record the requirements on paper, then return to the office where a person would enter the information into the computer before sending it to the supplier.

It was not possible to determine the estimated cost of each order until the invoice was received.

#Solution

A web based solution was developed (secure web portal). Each person carrying out the task was equiped with tablet and would have their own login and password assigned. Then while walking arround the building marks what is needed using simple form with drop down menu. Once order was complete this person pressed the button and order was sent straight to Supplier. A copy of order is sent to the construction company office. The business was seeing a time save within a matter of days.

The process of uploading new products and prices into the internal database is simple to manage, and it enables the system to provide accurate cost estimates for each order. This is possible because the supplier prices remain constant, and any changes are automatically reflected in the calculations. As a result, the estimated bill is typically close to the actual cost.
The company can be well prepared for when the invoice arrives, as they will already have an accurate idea of the cost. This helps to streamline the purchasing process and reduces the risk of unexpected costs or delays.
